Implementation tutorial


1) Link between your Swikly account and your Hostaway account


  • Login to your Hostaway account
  • Go to "Settings", then to "Hostaway API".
  • Click on "Create". This will allow you to create a new API key for connecting with Swikly.
  • Name your new API key "Swikly", then create it. This page will open:



  • Log into your Swikly account
  • Click on "Partners" in the top right menu, then on Hostaway.
  • Copy and paste your Account ID and API Key available from the page opened on Hostaway.



  • Click on "Confirm". Congratulations! Your accounts are now linked. 



2) Set up 


Once your Hostaway account is connected to Swikly, you'll need to select your user option from Swikly. Just click on the option of your choice.



Then, enter a default deposit amount, which will only be taken into account if there is no deposit amount entered in Hostaway.





3) Prepare you security deposit request


The rest of the setup is done from your Hostaway account. The next steps are to set up your deposit amounts, create a "Security Deposit" field to verify that the deposit has been secured, and create an automatic deposit request email.


a) Creating the "Deposit" field


  • Go to the "Reservations" tab then "CustomField"
  • Add a new "CustomField" and name it precisely "Swikly deposit secured"
  • Choose as "CustomFieldType" the field "TEXTAREA"

And Save! That's it!



b) Creating the deposit and/or payment request message


On Hostaway, you can create automatic emails to send your deposit and/or payment requests based on the booking portals and your accommodations:


  • Go to "Inbox" and click on "Automation".
  • Create a new message
  • Name it "Swikly deposit" 


Here are some email templates you can use: 


Attention: make sure you change the [ACCOUNTID] field with your personal Hostaway account ID.


For your Security deposit:

Once you have copied and pasted the email templates, you need to choose how to send your requests:


  • Choose when this email should be sent. (We advise you to send the request about 10 days before the arrival of the traveler)


  • Select for which portals and listings you want to send this message
  • Check the "Automatically add new listings" field if you want this message to be sent for all accommodations registered after this message is created.
  • Check the "Always trigger" field if you want the email to be triggered for late bookings (which arrive after the created setting)



All you have to do is record your automatic message.



c) Definition of security deposit amounts


For each listing, you can register a different deposit amount.


  • Go to "listings".
  • Edit your accommodation and click on "Price and Fee".



  • Enter your deposit amount in "Refundable Damage deposit fee"
  • Register and save


The setup is now complete!

Additional questions about integration with Hostaway




How do I know if my client has posted a deposit and/or paid for their reservation? 



When a deposit is made, we automatically update the "Swikly deposit secured" Custom Field created for this purpose. The CustomField changes to "Yes" when the deposit has been made. You can find this CustomField in "Reservations" by adding it to your columns.


You can also find this tag in the details of the reservation.



The principle is the same for the payment. The "Is Paid" field changes to "Yes" when the payment has been made by your customer.
